duration - Indefinite
Job details: Responsibilities Include:
The Office Manager will be responsible for establishing a world class Facility Department offering the highest customer service to both our external and internal clients. A successful incumbent will ensure efficient and effective operation of support activities within the Company including overseeing facility requirements for the studios and managing the client services.
Duties Include:
Facility
- Liaise between the building management/landlord and Rainmaker with the maintenance and lease issues
- Responsible for timely resolution of customer concerns such as issues regarding security, HVAC, ergonomics, etc.
- Chair the Occupational Health and Safety Committee
- Ensure that the facility operates in accordance with Workers Compensation guidelines
- Establish and administer all major vendor corporate accounts to procure and service office: equipment, furniture, supplies, pagers, cell phones, craft services, coffee, water, recycling program and document shredding
- Endeavour to maintain a consistent aesthetic corporate appearance throughout both the facilities
- Coordinate and control facility keys, security cards and parking
- Ensure company transportation is current in insurance and maintained in good repair and presentation
- Coordinate internal office movement ensuring office or work station set up
- Reallocation and scheduling of physical resources
- Administer facility archiving and records storage both on and off site
- Administer facility asset tracking (i.e. office furniture, keys, etc.)
- Recommend or initiate new office procedures and implement approved changes
Client Services
- Oversee the craft services including sourcing out new caterers
- Manage the pubs for both facilities
Leadership
- Manage Production Assistants, Receptionists, and Client Services including recruitment, training, performance management, compensation, professional development and team building
- Mentor and coach facility team members by setting performance objectives and providing timely feedback
- Provide and manage training for new hires
- Manage department spending to the approved budget. Responsible for creating budgets in conjuction with President
Qualifications Include:
- Minimum of 5+ years management experience
Intermediate to advanced knowledge of Microsoft Office programs; particularly MS Word, MS Excel, MS Outlook and MS PowerPoint, as well as an aptitude for learning new computer software and office technologies
- Extremely well organized
- Accurate, dependable, able to anticipate needs
- Strong verbal and written communication skills
- Strong interpersonal skills
- Attention to detail, ability to prioritize multiple tasks
- Ability to see projects through to completion
- High degree of self-initiative, maturity, confidentiality and strong sense of business acumen
- First Aid Level II an asset
- Familiarity with AutoCAD an asset
